NearlyMe is built on a principle of radical transparency. We collect information to make your AI assistant work well for you — not to sell it, not to build advertising profiles, and not to train AI models for anyone else. This policy explains exactly what we collect, why, and what you can do about it.

NearlyMe is operated by ReallyUs LLC, a company incorporated in Arizona, USA ("we", "us", "NearlyMe"). Our registered address is in Sedona, Arizona. We act as the data controller for personal information you provide directly to us.

Account information. When you sign up we collect your name and email address. If you set a password, it is hashed using a one-way cryptographic function before storage — we never store your password in plain text and cannot retrieve it. If you sign up via Google, we receive your name, email, and profile picture from Google; no password is stored in that case.
Conversation data. We store the messages you send to NearlyMe and the assistant's responses. This forms your conversation history and is used to provide continuity across sessions — so NearlyMe can recall what you discussed last time without you having to repeat yourself.
Assistant memory and context. Over time NearlyMe builds a personalised knowledge base about you: your preferences, working patterns, the people you work with, and your current priorities. This is stored explicitly to improve your experience.
Usage data. We collect standard server logs including IP address, browser type, pages visited, and timestamps. This is used for security monitoring and diagnosing technical issues.
Connected integration data. If you connect third-party services (Google, Slack, Asana, ClickUp, etc.), we receive and temporarily process data from those services as described in Section 3. We do not permanently store the contents of third-party data beyond what is needed to provide the assistant response, except where you have explicitly asked NearlyMe to remember something.
Payment information. Payment is processed by a third-party provider (Stripe). We do not store full card details on our servers.
Sensitive personal data — please read. Do not submit sensitive categories of personal information through NearlyMe unless strictly necessary for a specific task. Sensitive categories include: passwords and login credentials for any service, health or medical information, financial account details, biometric data, racial or ethnic origin, political opinions, religious or philosophical beliefs, sexual orientation, and criminal records. NearlyMe is not designed or secured as a specialist system for sensitive data processing. If you do submit sensitive information, it is processed under the same terms as all other data and transmitted to Anthropic's servers as part of the assistant response.
Connecting a third-party account is always optional. NearlyMe can function without any integrations. When you connect Google or another service, you are granting us access only to perform the specific functions described below. You can disconnect any integration at any time in Settings.
Gmail (gmail.readonly). We read your email messages and threads to surface important emails, answer questions about your inbox, and provide context in the assistant chat. We do not send, delete, or modify email. We do not read email and store it permanently — email content is processed at query time and is not retained after the assistant response is delivered, unless you explicitly ask NearlyMe to remember specific information from an email.
Google Calendar (calendar.events and calendar.readonly). We read your calendar to answer scheduling questions and identify conflicts. We create calendar events only when you explicitly instruct the assistant to do so. We do not delete or modify existing events unless you ask us to.
Google Drive (drive.readonly). We read document contents when you ask the assistant to find, summarise, or work with a file from your Drive. We do not modify, delete, or share files.
How Google data is used and not used. Data received from Google is used solely to provide and improve your NearlyMe experience. We do not use Google data to train AI models, build advertising profiles, or share it with third parties for any purpose other than delivering the service. We comply with the Google API Services User Data Policy, including the Limited Use requirements.
Revoking access. You can disconnect Google at any time via NearlyMe Settings. You can also revoke access directly from your Google Account permissions page. Upon disconnection, we immediately invalidate the stored tokens and cease accessing your Google data.

How your conversations are processed. NearlyMe is powered by Anthropic's Claude API for chat and reasoning, and OpenAI's API for certain image features. When you send a message, your input (along with relevant context from your history and any connected integrations) is transmitted to those providers' servers to generate a response.
We do not train AI models on your data. ReallyUs LLC does not use your conversations, messages, or any personal data to train, fine-tune, or improve any AI model. Your data is used solely to provide your personal assistant experience.
Third-party AI providers — important notice. Anthropic and OpenAI operate their services under their own terms and privacy policies, which are independent of ours. While Anthropic's API terms include restrictions on using customer data for model training, we cannot independently verify or guarantee that Anthropic, OpenAI, or any future AI provider we use does not process or use your data in ways that could include model improvement. We encourage you to review Anthropic's Privacy Policy and OpenAI's Privacy Policy to understand their current practices before using the service.
Personalisation vs model training. NearlyMe stores your conversation history and extracted memories (summaries of your preferences, context, and priorities) to personalise your assistant over time. This is solely to improve your individual experience and is stored on NearlyMe's own servers. It can be reviewed and deleted at any time in Settings.
Human review. NearlyMe staff may access conversation logs in limited circumstances: investigating abuse reports, diagnosing serious technical failures, or when required by law. Access is logged and limited to what is necessary.
Actions taken on your behalf. NearlyMe can take actions in connected services (posting to Slack, creating calendar events, creating tasks). These actions are taken only in direct response to your instructions. You are responsible for reviewing any content before authorising NearlyMe to send or post it.
Conversation history. Stored for as long as your account is active. You can delete individual conversations or your entire history at any time in Settings.
Assistant memory. Stored for as long as your account is active. You can review and delete individual memory items at any time.
Integration tokens. OAuth tokens for connected services are stored encrypted and deleted immediately when you disconnect an integration.
Account data. Retained until account deletion. Following deletion, we remove personal data within 30 days, except where we are required to retain it for legal or compliance reasons (such as billing records, which may be retained for up to 7 years).
Server logs. Retained for up to 90 days for security purposes.
Regardless of where you are located, you have the following rights with respect to your personal information:

Legal basis for processing (EU/UK). For users in the European Economic Area, United Kingdom, and Switzerland, we process personal data on the following bases:
International transfers. NearlyMe is operated from the United States. When we transfer personal data from the EU, UK, or Switzerland to the US, we rely on Standard Contractual Clauses (SCCs) approved by the European Commission, or equivalent transfer mechanisms.
Data Processing Agreement. Business customers requiring a Data Processing Agreement (DPA) for GDPR compliance should contact privacy@nearlyme.ai.
EU/UK supervisory authorities. If you are in the EU or UK and believe we have not handled your data lawfully, you have the right to lodge a complaint with your local data protection authority.
Automated decision-making (GDPR Article 22). NearlyMe does not make automated decisions with legal or similarly significant effects about you without human involvement. The assistant makes suggestions, drafts responses, and surfaces information, but decisions with significant consequences — such as account restrictions, content moderation actions, or suspension — involve human review by ReallyUs LLC staff. You have the right under GDPR Article 22 not to be subject to solely automated decisions that produce significant legal or similarly significant effects. If you believe such a decision has been made, contact privacy@nearlyme.ai.
California residents have the following additional rights under the California Consumer Privacy Act (CCPA) as amended by the CPRA:

NearlyMe is not directed at children under 16. We do not knowingly collect personal information from anyone under 16. If you believe we have inadvertently collected information from a child, please contact us at privacy@nearlyme.ai and we will promptly delete it.
Beta period — United States residents only. During the current beta period, NearlyMe is available to residents of the United States only. By creating an account, you confirm that you are located in and a resident of the United States. This restriction will be lifted when we expand availability to additional territories, which we will announce with reasonable advance notice.
Sanctioned territories. In compliance with US export control laws and Office of Foreign Assets Control (OFAC) regulations, NearlyMe is not, and will never be, available to users in or from Cuba, Iran, North Korea, Syria, or the Crimea, Donetsk, and Luhansk regions of Ukraine. By using NearlyMe, you confirm you are not located in or acting on behalf of any person in these territories.

No system is completely secure. In the event of a data breach that affects your rights and freedoms, we will notify you and applicable regulators as required by law.
We may update this policy from time to time. For material changes, we will notify you by email or by displaying a prominent notice in the app before the changes take effect. The date at the top of this page reflects the most recent update. Continued use of NearlyMe after a notified change constitutes your acceptance of the updated policy.
